Position Summary:
The Analyst - PMO (GCC) is a critical execution-layer role within the Program Management Office, responsible for supporting end-to-end program governance, process documentation, knowledge transfer (KT) coordination, and data management across the GCC delivery lifecycle. The incumbent will act as a custodian of program master data, ensuring accuracy, traceability, and timely updates across all program repositories.
This role requires a detail-oriented professional who can translate business requirements into structured records, design SOPs and process flows, track KT milestones, and provide advanced Excel-based reporting support across multiple interlinked trackers and stakeholder files. The analyst will interface closely with vendors, project teams, functional leads, and business stakeholders to drive operational accuracy and process compliance.
Key Responsibilities:
- Master Data & Program Governance:
- Own and maintain program master files and working trackers throughout the program lifecycle.
- Ensure all records remain accurate, structured, and aligned with current business requirements.
- Perform regular data validation and quality checks across all program repositories.
- Support governance reviews and audits through accurate maintenance of program information.
- Maintain version control and change logs for master files to enable traceability.
- Requirement Intake & Management:
- Capture, validate, and enter new business requirements into relevant master files and tracking systems.
- Maintain complete and up-to-date requirement records with status, owner, and resolution details.
- Track requirement lifecycle from intake to closure and flag overdue or unresolved items.
- Support periodic reporting on requirement status for stakeholder reviews.
- Coordinate with business owners to clarify, prioritize, and close requirement backlogs.
- Vendor & Unique ID Governance:
- Allocate vendors and unique identifiers based on approved functional and sub-functional mappings.
- Maintain consistency and accuracy of vendor allocation records across all program trackers.
- Ensure traceability and governance compliance for all vendor-related mapping information.
- Support audit readiness through well-maintained vendor and ID allocation logs.
- Escalate mapping conflicts or anomalies to the PMO Lead for timely resolution.
- SOP Design & Process Documentation:
- Design and maintain Standard Operating Procedures (SOPs) for KT, onboarding, and operational processes.
- Translate business requirements into structured process documentation and workflow diagrams.
- Create swimlane diagrams, process flowcharts, and RACI matrices as required.
- Periodically review and update SOPs to reflect process changes or improvements.
- Maintain a centralized process documentation repository accessible to all stakeholders.
- Knowledge Transfer (KT) Coordination & Tracking:
- Review submitted KT forms and trackers to verify completeness and accuracy.
- Monitor KT schedules and completion status against agreed timelines and milestones.
- Follow up with candidates, vendors, and team leads to ensure timely KT execution.
- Escalate delays, risks, or compliance issues impacting KT progress to the PMO Lead.
- Maintain KT governance records, status dashboards, and exception reports for leadership reviews.
- Advanced Excel & Reporting Support:
- Develop and maintain complex Excel-based trackers: master files, candidate files, and vendor files.
- Troubleshoot issues across interlinked workbooks — including two candidate files and two vendor files linked to master files.
- Build and maintain XLOOKUP / INDEX-MATCH formulas, pivot tables, dynamic dashboards, and data validation rules.
- Ensure data integrity and consistency across all linked reporting files.
- Automate repetitive reporting tasks using advanced Excel features such as Power Query and macros where applicable.
- Stakeholder Reporting & Presentations:
- Prepare management-ready reports and PowerPoint presentations for governance reviews and milestone meetings.
- Convert complex tracker data into executive-level dashboards and visual summaries.
- Support weekly, monthly, and ad hoc reporting requirements for program leadership.
- Maintain presentation templates and ensure consistency of formatting across all program decks.
Educational Qualification:
- Bachelor’s degree in business administration, Engineering, Information Systems, Operations Management, or a related field.
- MBA or Post-Graduate Diploma in Management (preferred).
Work Experience
- 3–5 years of experience in PMO, Process Excellence, Shared Services, GCC, Reporting, or Program Coordination roles.
- Prior experience in a Global Capability Center (GCC) or Offshore Delivery Center environment preferred.
- Exposure to cross-functional stakeholder management and multi-vendor program environments.
- Experience in Knowledge Transfer (KT) coordination or transition management is a strong advantage.
